    IGF::OT::IGF OTHER FUNCTION - CONTRACT SERVICES TO PROVIDE LOGISTICAL SUPPORT FOR THE ANNUAL PUBLIC HEALTH LEADERS CONFERENCE IN 2013 STATEMENT OF WORK: BACKGROUND: THE REGIONAL HEALTH ADMINISTRATOR (RHA) IS RESPONSIBLE FOR PROMOTING AND ENHANCING THE CORE OFFICE OF PUBLIC HEALTH AND SCIENCE (OPHS) MISSIONS OF STRENGTHENING PREVENTION, CLOSING HEALTH GAPS, AND STRENGTHENING THE PUBLIC HEALTH INFRASTRUCTURE. IN ORDER TO ACCOMPLISH THESE OPHS PRIORITIES, THE RHAS WORK COLLABORATIVELY WITH STATE DEPARTMENTS OF HEALTH, LOCAL PUBLIC HEALTH AGENCIES, ACADEMIC HEALTH CENTERS, TRIBES, MEDICAL RESERVE CORPS UNITS, COMMUNITY BASED ORGANIZATIONS AND OTHER FEDERAL AGENCIES. REGION VIII INCLUDES COLORADO, MONTANA, NORTH DAKOTA, SOUTH DAKOTA, UTAH, AND WYOMING. STATE BUDGET LIMITS AND LONG TRAVEL DISTANCES BETWEEN STATES COMBINE TO MAKE CONVENING OF KEY STATE PUBLIC HEALTH LEADERS AROUND VARIOUS ISSUES DIFFICULT. IN ORDER TO FACILITATE STRATEGIC COMMUNICATION, PROMOTE EFFECTIVE PARTNERSHIPS, AND TO HELP SHAPE POLICY AT LOCAL AND STATE LEVELS, THE REGION VIII RHA NEEDS THE CAPACITY TO CONVENE AND SUPPORT REGIONAL MEETINGS WITH KEY STAKEHOLDERS FROM EACH STATE TO DEVELOP PLANS TO ADDRESS ISSUES SUCH AS OBESITY PREVENTION AND DISASTER RESPONSE. PURPOSE: THE OFFICE OF THE REGIONAL HEALTH ADMINISTRATOR, REGION VIII, REQUIRES A CONTRACTOR TO PROVIDE LOGISTICS SUPPORT TO FOR THE CONVENING OF THE ANNUAL PUBLIC HEALTH LEADERS MEETING WITH THE SIX REGION VIII STATE HEALTH OFFICERS AND THE REGION VIII INDIAN HEALTH SERVICE DIRECTORS. THE PURPOSE OF THE REGIONAL MEETING IS TO DISCUSS THE PUBLIC HEALTH PRIORITIES OF THE SECRETARY OF HEALTH, DHHS, AND OF OPHS AND THE ISSUES CONFRONTING THE KEY PUBLIC HEALTH LEADERS IN THE STATES. LOGISTICAL SUPPORT MAY INCLUDE CONTRACTING FOR MEETING SPACE AND OTHER LOGISTICS SUPPORT FOR KEY STAKEHOLDER ATTENDEES. THESE MEETINGS ARE MEANT TO FACILITATE STRATEGIC COMMUNICATIONS ACROSS STAKEHOLDERS AND TO ENSURE REPRESENTATION FROM DIVERSE COMMUNITIES. THE MEETING WILL BE UP TO THREE DAYS IN LENGTH AT A LOCATION TO BE DESIGNATED BY THE PROJECT OFFICER. IT IS ANTICIPATED THAT THE MEETING WILL BE IN MAY OR JUNE OF 2013 AND LIKELY BE HELD IN DENVER, CO OR CHEYENNE, WY. STATEMENT OF WORK: THE SELECTED VENDOR SHALL: 1. PROCURE MEETING SPACE AND LOGISTICS SUPPORT FOR A MINIMUM OF ONE REGIONAL MEETING AT A DATE AND LOCATION DESIGNATED BY THE PROJECT OFFICER. NO-COST SPACE WILL BE THE PRIORITY. NO FOOD OR BEVERAGE WILL BE PROVIDED WITH FEDERAL FUNDS AT THE MEETING. 2. WORK WITH PLANNING COMMITTEE TO DEVELOP AGENDA AND MEETING MATERIALS, IF APPROPRIATE. 3. ARRANGE FOR LODGING OR TRAVEL OR OTHER SUPPORT OF SELECTED NON-FEDERAL SPEAKERS OR REQUIRED PARTICIPANTS FOR THE MEETING. ESTIMATED NUMBER OF TRAVELERS IS 5-8. DELIVERABLES: MEETING AGENDAS AND MATERIALS, WHEN REQUESTED, AT LEAST TWO WEEKS PRIOR TO THE SCHEDULED MEETING. ITEMIZED ACCOUNT OF CHARGES, WITH TRAVELERS? NAMES, IF APPROPRIATE, NO MORE THAN 60 DAYS AFTER THE MEETING. TIMELINES: NO LATER THAN 60 DAYS AFTER CONTRACT AWARD, THE VENDOR WILL CONTACT THE REGIONAL HEALTH ADMINISTRATOR, REGION VIII, TO DETERMINE POTENTIAL MEETING LOCATION AND DATE, LOGISTICS REQUIRED, AND TRAVEL EXPECTATIONS FOR THIS ANNUAL MEETING. THE VENDOR WILL OBTAIN MEETING SPACE AND OTHER NECESSARY ROOM RESERVATIONS WITHIN 30 DAYS AFTER THE MEETING DETAILS HAVE BEEN IDENTIFIED. THE CONTRACTOR WILL SUBMIT BILLINGS WITHIN 60 DAYS OF THE MEETING. PERIOD OF PERFORMANCE: SEPTEMBER 1, 2012 ? SEPTEMBER 1, 2013
